During the lead up to your event your client may receive a lot of information from the event organising company. It is extremely important that they share this information with you, as it will make your life easier when you arrive on site, such as, telling you the stand number, hall number, the mark-out colour and, if there is a deposit system, whether it’s booked in advance or needs to be paid in cash on the day.
When you arrive on site, please ensure you bring a scaled copy of the stand plan along with your method statement and risk assessment, and a copy of all orders for services.

The eGuide provides guidance on required standards while working on site at any AEV member venue. It is important to read it carefully and familiarise yourself with the content before you undertake any work at the NEC. Adhering to the guidelines will help you avoid any unexpected hold ups during your build.
Co-ordinating the build, parking and breakdown processes and services for all the exhibitors at a show is a complex piece of logistics and calls for careful co-ordination. Please help us make it all as efficient as possible for everyone by following these guidelines.
Free parking is available for contractors arriving in a car during the build and breakdown periods. This parking will be in the outer car parks.
Please note: there is no parking at the back of the halls as this area is restricted to loading/unloading during build and breakdown.
Stand carpets are swept and waste removed on the evening of the last day of build and each open day. Stands are not cleaned during the build – cleaning staff in the halls, during the build, are there to keep the gangways clear of rubbish. Anything left in the gangways is deemed as rubbish and will be disposed of by the cleaning team.
Please note: Upper decks of double decks stands are not included but separate cleaning arrangements can be made by calling 0121 767 2765.

Cars: Contractors should park on the car parks and follow the pedestrian route to the hall.
Lorries and vans: Lorries and vans arriving for breakdown should report to the designated lorry park on the last day of show - the lorry park will be open at 07.15hrs onwards. They can then park in the queue through the day until post-show breakdown commences.
Access to the rear of the halls: Exhibitor cars are given parking priority at the back of the halls. If there is space available once all the exhibitors are parked, lorries can have access on a first come first served basis. This can take some time - so please be patient. We’ll do our best to help keep any delays to a minimum. You can help us, too, by only bringing in vehicles that are ready for loading and removing them as soon as they are loaded.
Please note: for safety reasons all visitors must have left the hall before breakdown can commence. Approval to grant access to contractors will only be given once this process has been completed. This means there may be a delay between show close and contractors being given access – the length of this delay can vary from show to show, so please be patient.
